Retreat Policies & House Rules

Prepared for: Shantara Life
Date: 23rd November 2025
Doc: WHNR-SM-03
Version: 1.1

Executive Summary

This document outlines guest policies for Shantara Life to be shared during the inquiry stage, published on the website, and used in email communications with prospective guests.

These policies serve three critical functions:

  • Protecting the clinical integrity of naturopathy treatments
  • Ensuring an optimal healing environment for all guests
  • Establishing clear operational boundaries that enable therapeutic success

Unlike hospitality-focused wellness resorts, Shantara Life operates as a clinical naturopathy retreat where treatment efficacy depends on controlled conditions such as prescribed diets, structured routines, minimal external disruptions, and continuous monitoring. The policies directly support clinical outcomes by preventing interference with therapeutic protocols.

Guest Admission Criteria

Shantara Life accepts guests with chronic lifestyle-driven conditions including diabetes, hypertension, obesity, PCOD/PCOS, thyroid disorders, digestive issues, arthritis, and stress-related disorders manageable through naturopathic treatment.

We do not accept guests with critical or acute conditions requiring emergency care, intensive medical intervention, or 24/7 monitoring. This includes recent heart attacks, unstable angina, stroke, severe organ failure, active cancer under treatment, or severe psychiatric conditions requiring hospitalization.

Our doctors reserve the right to decline admission if your condition requires clinical resources beyond our naturopathic treatment capabilities.

Age Policy

Guests below 18 years and above 80 years are not permitted to participate in programs at Shantara Life due to the specialized therapeutic nature of our treatments and the clinical protocols involved.

Naturopathy treatments require a level of physiological stability and program adherence that falls outside these age ranges.

Minors aged 14–17 years may be accommodated only as non-participating companions upon a doctor’s recommendation.

Pre-Consultation Requirements

Reservations at Shantara Life are confirmed only after a mandatory preliminary consultation with our doctors. This ensures naturopathy treatment is appropriate for your condition.

Before consultation, you must submit the Preliminary Assessment Form, provide all relevant medical records, and disclose all current medications being taken.

We reserve the right to decline admission if naturopathy treatment is not suitable for your specific health condition.

Booking & Payment

Reservations are confirmed with a 30% advance payment, and the remaining 70% must be received 30 days before your arrival date. Confirmation is subject to room availability.

We accept bank transfers, UPI, and credit/debit cards.

Room assignments are based on availability at the time of booking, and we will accommodate preferences wherever possible.

Cancellation Policy

Cancellation requests received more than 30 days before arrival will receive a 100% refund.

Cancellations received between 21 and 30 days before arrival will receive a 50% refund.

Cancellations received 20 days or less before arrival will receive no refund.

No refunds are provided for no-shows, early departures, or disciplinary discharges.

Date Changes

Date changes are permitted once without penalty if requested at least 20 days before the original arrival date, subject to availability. Subsequent changes and cancellations will be treated as cancellations with no refunds.

Stay Duration

The minimum stay duration for any program is 7 nights, as this is the minimum period for naturopathy protocols to be clinically effective.

If you leave early or stay shorter than 7 nights, you will be charged for a minimum of 7 nights.

Your doctor will recommend an optimal program duration based on your specific health condition during the preliminary consultation.

Program Inclusions

Your program fee includes accommodation in your assigned room category, all meals as per your prescribed diet plan, wellness attire for your entire stay, daily laundry of wellness attire, airport transfers from Calicut International Airport, all treatments and therapies as prescribed by your doctor, daily doctor consultations, yoga and meditation sessions, and all applicable taxes.

Additional therapies beyond your prescribed treatment plan are only available with doctor’s approval and will be charged extra.

Non-Participating Companions

Non-participating companions may be accommodated in specific circumstances where a guest requires a caretaker. This arrangement must be requested and approved during the preliminary consultation.

Non-participating companions are charged at 25% of the per-night program rate, which includes accommodation and meals aligned with retreat guidelines.

All companions must strictly adhere to all retreat policies including dietary restrictions, movement restrictions, prohibited items, attire requirements, and conduct guidelines. Violation of any policy will result in discharge without refund.

Companions are not permitted to bring outside food, leave the premises during the stay, or disrupt the therapeutic environment in any manner.

Helper Policy

If your condition requires continuous assistance, we will assign a qualified nurse to support you 24/7 throughout your stay at ₹2,000 per day.

This must be requested during the preliminary consultation and is subject to the recommendation of your doctor.

Pre-Arrival Requirements

All guests must complete a medical screening questionnaire and provide relevant medical records as requested by our doctors during the preliminary consultation.

You are requested to carry all relevant medical reports and current medications being taken. Please bring a valid photo ID (Passport, Aadhaar Card, Driving License, or Voter ID).

Foreign nationals are requested to submit passport and visa documents on arrival.

It is important that you discontinue tea and coffee consumption 3–4 days before arrival to avoid withdrawal symptoms during detox. This preparation significantly improves your treatment outcomes.

Prohibited Items

The use of coffee, tea, alcohol, packed food, non-vegetarian food, non-pharmaceutical drugs, cigarettes, and any other outside food is not permitted within the premises. You are requested to follow this rule very strictly.

Any violation may result in discharge without refund.

Airport Transfer

Complimentary pickup from Calicut International Airport is provided on a shared transfer basis. We request you to share your flight details at least 48 hours in advance.

Check-In & Check-Out

Check-in is at 2:00 PM and check-out is at 12:00 PM. All guests are requested to have lunch before departure.

Early check-in or late check-out up to 4 hours can be provided complimentary based on room availability.

Beyond 4 hours, 25% of the per-night rate will be charged.

Identification Upon Arrival

Every person staying at Shantara Life must carry a valid photo identification. In the case of foreign nationals, passport and visa documents need to be submitted on arrival.

Attire & Uniform

Two sets of cotton pyjama suits are provided for all guests. Hence, you may carry only the basic necessities by way of clothes.

It is mandatory for all guests to use the pajamas provided by the retreat. This is to maintain uniformity, create a sense of oneness, and above all, assist you in disconnecting from your regular life and immersing yourself completely in the healing process.

Laundry

Daily laundry of retreat attire is complimentary. Personal clothing laundry is available on a chargeable basis.

Food & Dining

We serve a 100% vegetarian, plant-based diet customized based on your body constitution and health condition. All meals are included in your package.

You are required to adhere strictly to the diet prescribed for you by your naturopathy doctor, as it has been specifically designed to help your body heal. The prescribed diet is not a preference but a critical component of your treatment protocol.

In-room dining is available only on a doctor’s recommendation.

Medication Policy

All current medications must be declared during the preliminary consultation and again at admission.

Self-medication during your stay is strictly prohibited. Any ongoing pharmaceutical treatment will be continued only under the supervision of our in-house doctors.

This policy exists because naturopathy treatments can interact with certain medications, and our doctors need complete oversight of everything entering your system.

Movement During Stay

Leaving the premises during your stay is not permitted. This restriction is essential for treatment efficacy and your safety, as your body will be in various stages of detoxification and healing. Your naturopathy protocol requires continuous monitoring, a controlled diet, and a structured routine.

In case of an emergency requiring you to leave the premises, you must be accompanied by a doctor or designated team member.

Digital Detox

We strongly advise minimal use of mobile phones, laptops, and other communication devices to rest the mind and support your healing process. However, if you find it absolutely necessary to use them, please restrict your usage to within your room in a manner that does not disturb other guests.

Mobile phones and other devices are not permitted in treatment areas, dining areas, the library, yoga halls, meditation halls, or other shared therapeutic spaces.

Retreat Conduct

We request you to adhere to your prescribed treatment schedule and respect quiet hours and shared spaces. Please converse in a low tone to maintain a peaceful environment.

You are requested to be considerate of other guests’ healing journeys.

Visitor Policy

Once you are admitted, visitors will not be allowed. This ensures an undisturbed healing environment for all guests.

Pet Policy

Pets are not permitted inside the retreat due to the therapeutic nature of our programs and to maintain a controlled healing environment for all guests.

Smoking & Substance Policy

Shantara Life is a smoke-free, alcohol-free, and drug-free facility. Possession or use of tobacco, alcohol, recreational drugs, or e-cigarettes anywhere on the premises will result in immediate discharge without refund.

Treatment Protocols

All treatments and therapies are as per the doctor’s prescription. Package inclusions and exclusions are clearly specified at the time of booking. Additional therapies or services are available at extra cost only after doctor’s approval.

Individual treatment results may vary based on health condition and adherence to the program. Naturopathy is a complementary approach and not a substitute for emergency medical care.

Post-Stay Support

Once you complete one of our programs, you are part of the Shantara family, and we want to support you on your transformation journey. Our doctors are always available to you through online appointments where you can discuss your concerns and continue receiving guidance.

We encourage you to continuously update us regarding your vitals and improvements so we can provide ongoing support.
